Drop off and Collection Policy

Breakfast & Afterschool Club.

1. Purpose

This procedure ensures the safe arrival and departure of all children attending the Breakfast and After-school Club. It supports safeguarding requirements, maintains accurate attendance records, and provides clarity for parents, staff, and children.

2. Breakfast Club Drop-Off Procedure (Morning)

2.1 Drop-Off Times

• Breakfast Club opens at 7:30 am.

• Children must not be dropped off before this time as staff may not be on duty.

2.2 Arrival and Registration

• Parents/carers bring children to the designated club entrance located to the right side of the lower hall.

• A staff member will greet each child and will:

• Mark them present on the daily register.

• Record any important messages (e.g., medical needs, changes to collection arrangements).

• Children in Reception (EYFS) are handed directly to a staff member.

2.3 Settling In

• Children place coats/bags in the designated area.

• Breakfast is offered until 8:30 am.

• Staff supervise and support children during free play and structured morning activities.

2.4 Handover to School

• At the agreed time, children are escorted safely to their classrooms or meeting points.

• EYFS and Key Stage 1 pupils are taken directly to their classroom.

• Key Stage 2 pupils are released in year group order to their line, once teachers are in the playground at the lining-up point. If the teachers are delayed and the group are ready, the staff will lead the children out to the playground until a member of the teaching staff is present for each line.

3. Afterschool Club Collection Procedure (Afternoon/Evening)

3.1 Transfer from School to Club

• Staff collect children from their classrooms or designated collection points.

• EYFS and KS1 children are collected and escorted to the playroom by staff.

• KS2 children are sent to the after-school club by their class teacher. The school have a copy of the set weekly register, which is distributed to all teaching staff. The register allows the class teacher to ensure the correct children are sent to the after-school club. The children independently walk from class to the after-school club.

• Children are registered immediately upon arrival at the playroom.

3.2 Collection Times

• Afterschool Club runs until 6:30pm.

• Parents/carers must collect their child/children by closing time.

• Persistent late collection may incur a charge as per the club’s policy.

3.3 Safe Collection Procedure

• Parents/carers collect children from the designated exit located to the right side of the lower hall.

• Only adults aged 16 or over who are listed as authorised to collect may collect children from the after-school club.

• Children 13yrs or over may collect with written permission.

• Staff will:

• Check the authorised adult’s identity if unknown.

• Sign the child out on the register.

• Note any safeguarding or welfare concerns.

3.4 Changes to Collection Arrangements

• Any change (e.g. a different adult collecting) must be communicated by the parent/carer in advance, preferably in writing or by phone.

• Children will not be released to an unauthorised adult under any circumstances.

3.5 Late Collection Procedure

If a child remains uncollected after closing:

1. Staff attempt to contact parents/carers.

2. If no response, staff call emergency contacts.

3. If after 1 hour no contact has been made and staff are unable to safely care for the child, senior staff may contact Children’s Social Care following safeguarding guidance.

4. Self-Collection by Older Children (Optional Policy)

Children in Year 5 or Year 6 may walk home alone only with written parental consent.

Consent must include:

• Days of permitted self-collection

• Permission for walking in poor weather or dark conditions

• Emergency contact details

Staff reserve the right to refuse self-collection if there are safeguarding concerns.

5. Attendance & Safeguarding

• A child’s attendance record is kept on file for the duration of their attendance at the club. Once a child has left the provision, records will be kept in the archive until they reach 25 years of age.

• Any unexplained absence from the Afterschool Club, where a child was expected, will be followed up with the school office and parents immediately.

• Staff follow the setting’s Safeguarding and Child Protection Policy at all times.
